How to manage your bank accounts in Alegra

Alegra allows you to create bank accounts to keep track of your company's cash inflows and outflows.hese can be: bank, credit card, or cash. You can also manage your bank accounts to easily administrate your business.

For example: ”The Ideal company handles money in different bank accounts and a larger cash account. Therefore it needs to create bank accounts in Alegra in order to keep track of inputs and outputs associated with each account. Thus, balances always correspond to the real money of each of the accounts allowing the business to control its money.

You can make several actions with your banks:

First click on the “Bank Details" option located on the main menu to see a list of your accounts and their balances. Next to each account you will find icons that will allow to perform this actions:

  • See detail: This option allows you to add and withdraw money, transfer money between accounts and deactivate banks.
  • Edit: This option allows you to modify the name, number, and description of your bank account.
  • Reconcile: This option allows you to compare the inflow and outflow of money with your bank statement.
  • Remove: This option allows you to delete the bank accounts when they have no previous movements.

Associate an accounting account to a bank account

When you create a new bank, Alegra will automatically create an accounting account in your account catalog for that bank, so you can consult the detailed information of each bank in the balance sheet.

Add and withdraw money from your bank accounts using the Bank menu

With this option, you can add and withdraw money from your bank accounts when you need it and also create a cash or payment receipt.

Follow these steps:

1. Click on the Bank option on the main menu.

2. Click on the “See detail” icon of the bank you want to register.

3. Choose the option “Add money” or “Withdraw money”, depending on your case.

4. Fill the form with correct information.

5. Click on the “Save” button.

Deactivate your bank accounts

You can deactivate bank accounts when you no longer need them. After deactivating an account you will not be able to do transactions with it,  but you will be able to consult its previous movements if needed.

You can also reactivate the account when you need it.

Follow these steps:

1. Click on the Bank option on the main menu.

2. Click on the “See detail” icon of the bank you want to deactivate.

3. Go to the “More actions” option and choose “Deactivate”.

4. To confirm this action click “Yes” on the warning message.

Remove your bank accounts

This option allows you to delete bank accounts when they do not have associated movements. For example, you can delete the accounts that are created by default in Alegra in order to create your own account. The only account that cannot be deleted is the “General box”, but you can edit it.

Follow these steps to delete a bank account:

1. Click on the Bank option on the main menu.

2. Choose the bank you want to delete and click on the “Remove” option.

Important:

  • When you delete an account this action cannot be undone.
  • If the “Remove” option is not active, it’s because that bank already has associated transactions. In this case, you can deactivate the account.
